Terms and Conditions of Enrollment

By completing an enrollment with PK-12 Virtual Academy, you agree that you have read, understood, and accepted the following academic and financial policies. These terms are binding for all enrolling parents/guardians, including those responsible for a student’s education or tuition.

📌 General Agreement

• These terms apply to each student enrolled and the family/guardian responsible.
  
  
• By enrolling, you certify you have the authority to agree to these terms on behalf of your student.
  
  

🔁 Refund Policy

1. Registration, shipping, service fees, and material costs are non-refundable.
   
   
2. Full Refund (minus non-refundable costs): If withdrawal occurs within 14 days from the start of coursework.
   
   
3. Partial Refund (80% of tuition): If withdrawal occurs after 14 but before 30 days from coursework start.
   
   
4. No Refund: After 30 days of coursework, all tuition is non-refundable, and any outstanding dues are payable immediately.
   
   
5. Grade Level Kits must be returned within 14 days, unused and undamaged. A 20% restocking fee applies.
   
   
6. Dual Enrollment Courses are non-refundable beyond 5 days of course commencement.
   
   
7. Program upgrades/downgrades must occur within 14 days for eligibility for any refund or adjustment.
   
   

🎓 Academic Guidelines

• All students must complete orientation before course access is granted.
  
  
• Plagiarism and cheating are strictly prohibited.
  
  
• Diagnostic testing is mandatory at the start and end of the year (Grades K–11).
  
  
• Final report cards or transcripts will only be issued upon full payment and completed coursework.
  
  

Graduation Requirements:

• A minimum of 5 high school credits must be earned through PK-12 Virtual Academy for diploma eligibility.
  
  
• Final graduation requirements are set based on official transcripts upon enrollment.
  
  

🔒 Privacy & Media Use

• External educators or consultants assisting PK-12 Virtual Academy are bound by strict confidentiality.
  
  
• Online classes may be recorded for training and academic purposes.
  
  
• Recording by parents or students of classes is strictly prohibited.
  
  

🚫 No Progress Policy

• Students are expected to maintain consistent weekly academic progress.
  
  
• Falling behind for more than 8 consecutive weeks may result in an academic hold or withdrawal.
  
  
• Tuition will not be refunded in cases of academic withdrawal.
  
  

💳 Financial Terms

Tuition & Payment:

• Automatic payments via debit/credit card or bank account are required for all payment plans.
  
  
• Academic records are released only upon full payment of tuition and fees.
  
  
• Materials are shipped only after course selections are finalized with an advisor.
  
  

Auto-Enrollment:

• Auto-enrollment locks in tuition rates during the term.
  
  
• Discontinuation can occur anytime, but existing payment plans must be honored.
  
  
• Auto-enrollment waives annual re-registration fees (except for full-pay or 2-payment plans).
  
  

📅 Extensions, Late Fees & Withdrawals

Extension Fees:

• $140/month (textbook/online courses); $225/month (Live Online Classes).
  
  
• Only 2 extensions allowed for full-year, 1 for half-year programs.
  
  
• Additional course licenses post-expiry: $99 (online), $599 (Academy+ with instructor).
  
  

Late Fees:

• $25 late fee applies to overdue payments.
  
  
• Accounts overdue by 30+ days may be suspended.
  
  
• Accounts overdue by 90+ days will result in withdrawal.
  
  

Re-enrollment:

• Treated as new enrollment. Past dues + new registration/tuition are required.
  
  

🔁 Course & Program Changes

• Changes after 14 days will incur a $75 fee per course.
  
  
• Material returns are not accepted post-change.
  
  
• Any third-party license fees related to course changes are non-refundable.
  
  

💻 Live Online Classes (LOC)

• Seat reservations are limited and held in advance.
  
  
• $75 drop fee applies post-enrollment.
  
  
• $50 change fee applies per course.
  
  
• Webcam, headset with mic, and high-speed internet are mandatory.
  
  
• No refunds beyond the 14-day drop window.
  
  

🎓 Scholarships

• Scholarships for pastoral, military, or mission-based families require documentation.
  
  
• If approved, scholarship funds will be reimbursed post-enrollment.
